My Wedding Workflow // For Photographers

Do you struggle with your workflow before, during and after a wedding? Today we are walking through the exact process that I do with all my clients!  I know workflows can be challenging to create from beginning to end for a wedding day and this is something I’ve gone over and changed over and over again!  And so today I am going to share the step by step process from inquiry to backing up of images of what my workflow looks like.
Initial Inquiry & Consultation:
  • Reply to inquiry email with availability & wedding guide
  • Schedule consultation with client
  • Email 1 day before consultation to confirm
  • Prep consultation materials
  • Email 1 day after consultation to thank them & follow up
  • If needed, email 1 week after consultation
Booking:
  • Email quote, contract & invoice (or client mails these things in)
  • Input client information into CRM system if needed
  • Enable client workflow in CRM system
  • Send “Welcome to the family email”, give access to client only wedding guide & prompt engagement scheduling
Before the Wedding:
  • 3 months out “checking in” email
  • 6 weeks out “questionnaire” email
  • 2 weeks out “Final invoice & timeline confirmation” email
  • 2 days out “Last reminders” email
After the wedding:
  • Same day Instagram sneak preview via wifi to my phone from my camera
  • Day after wedding download all images to Solid State Drives and backup to RAID drive. Visually confirm all images are present.  Set aside one set of SD cards to save until wedding is delivered.
  • 1-2 days after wedding cull favorites & blog images, edit and post sneak preview on Facebook.
  • Email “thank you” email & what to expect next.
  • 7-14 days after cull all images & send to editor.
  • 6-8 weeks after wedding proof edits, upload & send gallery to client.
  • Prep blog post & schedule.
  • Send “blogged” email on day of blog publication & social media blast
  • Send request for a review 1 month after gallery delivery if applicable.
  • 1 year later “anniversary” social media post & email
**NOTE: All RAW images that were delivered to my client are currently kept forever.  RAW images that were NOT delivered to my client (eyes shut, blurry images…etc) are deleted after one year.
